Set Up iLab
Introduction
In order to access instruments and services, researchers must have an active iLab account. Researchers from Northwestern University and the University of Chicago are provided the same internal rates as UIC users. Other users may access services at an external academic or external non-academic rate, which is determined using subsidy and market rates.
User Registration
In iLab, users are organized into Research Groups (labs). PIs need to register first to have their labs created and then business managers and lab members can register into their labs (research groups). PIs can assign the following roles to members of their group:
- Manager
- Primary Financial Contact
- Lab member
Principal Investigators
If you have multiple labs at UIC or other institutions, you can either:
- Register each of your appointments as a separate lab with its corresponding credentials
- Email rrc-ilab@uic.edu to have those labs created for you on one set of credentials
Internal PI – someone who has funding through UIC (has a CFOAPAL)
- Navigate to iLab (Bookmark this URL for future use)
- Select “Sign in using University of Illinois at Chicago (NetID) credentials.”
- You will now be prompted to provide your UIC NetID and password.
- In the registration page select a lab*
- Your first name, last name and email address will be pre-filled. Complete any remaining fields that have not been pre-filled, such as phone number.
- Click ‘Register.’ The next page you see will be the “Greeting Page”
- Once logged in you will be on the iLab homepage dashboard. Make sure to set your time zone and add your funding source(s)!
*a. If you are on the list of the PIs, select yourself and continue to step #3
OR
*b. If you are not on the list, select “A-NEW-PI_finish_reg&email RRC-iLAB@uic.edu” and continue to step #3. Email RRC Administration at rrc-ilab@uic.edu stating that you are a PI who is not on the list and we will finalize your registration.
Business Managers
- Navigate to the following URL into your browser: https://uic.ilab.agilent.com/account/login
- Bookmark this URL for future use.
- Once on the iLab login page, select ‘Sign in using University of Illinois at Chicago (NetID) credentials.’
- At this point you will now be prompted to provide your UIC NetID and password.
- First select the appropriate PI/Group from the first drop down. If your PI is NOT on the drop-down list, please make sure they register themselves. Until the PI is registered, we will not be able to finish your registration.
- Your first name, last name and email address will be pre-filled. Complete any remaining fields that have not been pre-filled, such as phone number.
- Click ‘Register.’ The next page you see will be the “Greeting Page”
- The PI you selected has been sent an email informing them that they need to approve your account and give you access to funding source(s). If you are not assigned a funding source, you cannot request services or schedule equipment.
- The PI is reminded each business day, but you have the opportunity to send an additional reminder.
- You will also receive a welcome email with brief getting started instructions.
- Once your account has been approved you will receive an email notification.
You can log in following steps 1-4 to utilize the core facilities within iLab. Once logged in you will be on the iLab homepage dashboard. Make sure to set your time zone!
Lab Members
- Navigate to the following URL into your browser: https://uic.ilab.agilent.com/account/login

External Users
External User – someone who has funding through another entity (does not have a CFOAPAL). Please note that even if you have a UIC appointment but your funding comes from somewhere other than a UIC entity, you need to register as external user.
- Navigate to iLab (Bookmark this URL for future use)
- Select “Register for an iLab Account”
- Fill out the registration form. Please make sure all your information is accurate. We will be sending invoices and all other communication according to the information you provided here.
- Once the registration is finalized, you will receive a notification from iLab support team
Please note: For external PIs who have existing accounts with iLab through their institution, there are 2 ways to login with your existing accounts:
- Click on the ‘hamburger’ menu icon on the top left-hand side of iLab website and navigate to ‘Core facilities’.
- Under view on the core facilities click on the 3rd option in the View ‘cores at other institutions’
- This will populate all the institutions which use iLab, you can either scroll to UIC or search in the right-side tab.
- Copy a part of the URL from the UIC core website and append it to you iLab site
Lab Member Management
Changing member roles
- Navigate to the menu icon at the top left corner of the page
- Select “Research Groups”
- Choose the lab that you would like to manage
- In the members tab, choose a person whose role you would like to change
- Click on the pencil
- Change their role in the drop-down menu
- Click “Save”
Linking existing users
- Navigate to the menu icon at the top left corner of the page
- Select “Research Groups”
- Choose the lab that you would like to manage
- In the members tab, scroll to the bottom and select “Link Existing User”
- Type in the user’s name
- Select the user and click “save”
Removing a member
- Navigate to the menu icon at the top left corner of the page
- Select “Research Groups”
- Choose the lab that you would like to manage
- In the “Membership Requests & Payment Sources” tab remove any account access for the user you will be removing
- In “Members” tab find the user and click on the red “X” next to their name.
Assigning a Primary Financial Contact
In iLab, PIs are set up by default as Primary Financial Contacts (PFC). However, they can dedicate business managers or financial administrators to be their Primary Financial Contact for the lab/group. The Primary Financial Contact is the individual who gets notified about new invoices, pending invoices and any other financial inquiries the core or RRC administration has. In order for PI to setup a PFC, the individual needs to be:
- Registered with the iLab system
- Added to that PI’s lab/group
- Assigned Financial Manager role
This does not in any way diminish the PI authority in the lab/group. The PI can override any and all authorizations in the lab/group.
- Navigate to the menu icon at the top left corner of the page
- Select “Research Groups”
- Choose the lab that you would like to manage
- In the “Members” tab next to the lab member who will be the Primary Financial Contact click on the pencil icon
- Change their role to “Manager” and check mark the box next to “Financial Contact” (there can be multiple managers in a group for different purposes)
- Click “Save”
- Refresh the page
- Navigate to “Group Settings” tab
- Under “Communication Settings” make sure that this individual’s name is selected in the drop-down menu
additional info
- Unless you accept a user into your lab and assign them a payment method, they will not be able to request services.
- It is up to PIs and Business Managers to maintain CFOAPALs and user access to them.
- RRC staff is not able to manage CFOAPAL lists of your lab.
- PIs can have multiple labs inside UIC as well as outside of UIC.
- In order to create them, please contact rrc-ilab@uic.edu.
- Business Managers can belong to multiple labs and manage all of them.
